Amazon Account Health: A Weekly Routine and How Suspension Appeals Work

Amazon watches three rates: Order Defect Rate under 1%, Late Shipment Rate under 4% and Pre-Fulfillment Cancel Rate under 2.5%. Check them weekly, name the cause of every defect, and keep a log. If an account is suspended, a root-cause appeal won one seller reinstatement in 11 days with all held funds recovered.

Key takeaways

When an Amazon seller account is suspended, the money is usually the first thing to go quiet. Sales stop, and the balance Amazon is holding sits in limbo. For one seller we worked with, the clock that mattered was Amazon's 90-day window for releasing held funds. The suspension came from two things at once: an Order Defect Rate above the limit, and a stacked intellectual property complaint that nobody had answered.

This guide is about what stops that situation arriving, and what to do if it does. It is written from that account, not from a checklist.

What Amazon actually measures

Three operational numbers decide most account health trouble. Amazon's published targets are an Order Defect Rate under 1%, a Late Shipment Rate under 4%, and a Pre-Fulfillment Cancel Rate under 2.5%. These come from Amazon's own seller guidance and can change, so confirm them on the Account Health page of your own account before you build a routine around them.

The Order Defect Rate counts orders with a sign of poor service: negative feedback, an A-to-z Guarantee claim or a chargeback. It is measured over a rolling window, so one bad week keeps costing you for about two months. That is why a rate of 1.2% is a problem you need to fix this month, not a number to watch.

The Account Health Rating is a separate score from 0 to 1,000 that reflects policy compliance. Late shipments and order defects are not part of it. Treat them as two dashboards: the rating tells you about policy risk, the three rates tell you about customer service risk. A seller can look fine on one and be in trouble on the other.

A 20-minute weekly routine

Most accounts we take over have no routine at all. They find out about a problem from an email titled "Action required", after Amazon has already decided.

Once a week, in this order:

  • Read the three rates and write them down. The point is the trend. A rate that moves from 0.4% to 0.7% in a month is a warning even though it is still under the limit.
  • Open every order that counts against the Order Defect Rate and name the cause: a late delivery, a wrong item, a listing that promised something the product did not do. The cause decides the fix.
  • Check the policy and listing notifications for anything marked at risk, and clear the ones you can fix that day.
  • Look for intellectual property or safety complaints. These are the ones that go unanswered, because the person who owns the account is rarely the person who sees the email.
  • Record what you did. When an appeal is needed, the log is the evidence.

What a suspension appeal needs

A suspension appeal is not a plea. Amazon's reviewers are looking for three things, and most failed appeals miss at least one: the root cause, the corrective action you took, and the preventive action that stops it happening again.

ASIN

Definition of ASIN

Amazon Standard Identification Number - the unique code Amazon assigns to every product listing on its catalog.

Example in practice

A seller launching a private-label phone case gets one ASIN when the listing goes live; every size or color variation gets its own child ASIN under the same parent.

Root cause means the specific reason the rate rose. "We will improve customer service" is not a root cause. "A supplier change in March produced a batch of mislabelled variants, which caused returns we handled slowly" is. Corrective action means what you did about the affected orders. Preventive action means what changes in the process, with an owner and a date.

On the seller above, the first appeal had been generic and was rejected. We rebuilt it around a documented root-cause analysis and a corrective action plan, and we managed every follow-up with Seller Performance directly rather than waiting for the next automated reply. The account was reinstated in 11 days, inside the 90-day window, and 100% of the held funds were recovered. In the 90 days since, the Order Defect Rate has stayed under 0.8%.

Stacked complaints deserve their own owner

The intellectual property complaint in that case did not cause the suspension alone. It was one of several that stacked up unanswered while the Order Defect Rate was also high. Amazon looks at the whole picture, and an unanswered complaint reads as a seller who is not paying attention.

Give complaints a named owner and a one-business-day rule for a first look. Not every complaint is valid, and the response depends on which kind it is, so this is a place to get advice rather than improvise.

When to get help

You can run this routine yourself if the account is small and one person watches it. Get outside help when the account carries real inventory or a lot of revenue, when more than one person touches listings, or when a notification arrives that you do not understand. The cost of a good appeal is small next to a frozen balance, and the first appeal is the one that counts most.

If you want a second pair of eyes on an account, our marketplace management service includes account health monitoring and appeals.
